Understanding Registration Workflows

Registration workflows in DualEnroll manage how students move through the course registration process. These workflows ensure all necessary approvals, documents, and requirements are completed before a student is officially enrolled in a course. This article explains the key concepts of registration workflows and how they function.

What is a Registration Workflow?

A registration workflow is a sequence of steps that must be completed for a student to successfully register for a course. Each step may involve different participants (students, parents, counselors, college staff) and different types of actions (approvals, document uploads, data verification).

Types of Registration Workflows

DualEnroll uses two main types of registration workflows:

  • Per-Term Workflows: Handle requirements that only need to be completed once per academic term (like parent consent or counselor approvals)
  • Per-Course Workflows: Manage the registration process for each individual course a student wants to take

How Registration Steps Work

When a student initiates a registration, the workflow automatically:

  • Checks if any per-term requirements need to be completed
  • Launches the appropriate course registration steps
  • Notifies relevant participants when action is needed
  • Tracks the status and progress of each step

Key Workflow Participants

Registration workflows typically involve several participants:

  • Students: Select courses and complete required steps
  • Parents/Guardians: Provide consent and complete required forms
  • High School Staff: Verify eligibility and approve course selections
  • College Staff: Process registrations and resolve any issues

Understanding Step Status

Each step in a workflow can have different statuses:

  • Pending: Waiting for someone to complete the step
  • Complete: Step has been finished successfully
  • Failed: Step encountered an error or was declined
  • Abandoned: Registration was cancelled before completion

Viewing Registration Progress

You can monitor registration progress in several ways:

  • Registration Tab: Shows all registrations and their current status
  • Student View: Displays steps from the student's perspective
  • Registration Reports: Provide detailed registration data and analytics

Common Registration Actions

Throughout the registration process, you may need to:

  • Complete steps assigned to you
  • Process steps in batch mode for multiple students
  • Review registration history and documentation
  • Handle registration changes or issues

Best Practices for Managing Workflows

  1. Monitor your Registrations tab regularly for steps requiring your attention
  2. Use filters to focus on specific high schools or steps
  3. Process similar steps together using batch mode when available
  4. Send reminders when participants are delayed in completing their steps
  5. Document any special handling or exceptions in the registration comments

Getting Help with Workflows

While workflows are configured during implementation to match your institution's requirements, you may occasionally need adjustments. Contact your DualEnroll support team if you need:

  • Clarification on workflow steps
  • Help with stuck or failed registrations
  • Workflow modifications or updates
  • Training on specific workflow features

Remember that registration workflows are designed to ensure consistency and compliance with your institution's policies. While they can be adjusted if needed, changes should be carefully considered and coordinated with your implementation team.
